Transaction Coordinator Seller Plan

Seller Side Checklist

  • Create Listing loop with Addenda and Add all Available Information

  • Upload Listing Agreement & Addenda to Document Management System

  • Review Listing Contract for Accuracy, Addendums, Signatures & Initials

  • Provide all parties with a signed Listing Contract, addenda & disclosures

  • Schedule Photos of the exterior and interior of the property

  • Schedule Pre-listing Inspections and Title search (if allowed by Seller)

  • Submit Listing Agreement to Admin for entry into MLS / upload photos

  • Execute Marketing Plan as required

  • Review Sales Contract for Accuracy, Addendums, and Signatures & Initials

  • Upload Contract & Addenda to Document Management System (if needed) and submit to Admin Review

  • Send Ratified Contract and Addenda to all parties and submit to Admin Review

  • Verify EMD is received per contract requirements

  • Coordinate and Order Inspections: Home/Termite/Well/Septic/Water

  • Verify that Utilities are turned on for Inspections

  • Check with Settlement Agent on Initial Title Search to be sure there are no non-curable problems

  • Follow up with Lender to ensure Loan Application is complete

  • Obtain all Inspection Reports for creation of PICRA or release

  • If PICRA is ratified, submit Ratified PICRA to all parties and Admin for MLS update

  • If Contract is released, submit to all parties for ratification, Admin, coordinate release of EMD

  • Verify Appraisal has been Ordered

  • Order HOA, POA, and/or Condo Docs (if required)

  • Check with Lender on status of Loan, Appraisal and Title updates for any potential issues

  • Follow up on Repairs and Confirm they are being done

  •  Review HOA, POA, and Condo Documents for Delinquencies and/or Violations Confirm there are no Appraisal Issues

  • Obtain HOA, POA, and Condo Acknowledgement of Receipt and Submit to Admin

  • Send Seller "Closing Instructions" email

  • Collect all Receipts from Contractors, Vendors or Handymen and upload to Document Management System

  • Review Preliminary CD/HUD to check for fulfillment of Contract obligations

  • Remind Seller to transfer utilities, maintain insurance, collect keys & remotes to property

  • Coordinate Walk-thru, Closing, Utilities and Key exchange

  • Remind Agent to remove Keybox and Sign Riders

  • Ensure Settlement Agent has information needed to disperse Seller Proceeds and Agent Commission

  • Check on Closing Package from Mortgage company (if any) to Settlement Agent

  • Request Online Reviews from Seller (Website, Facebook, Google, Realtor, Zillow)

  • Update agent's database with Sellers' new and personal information for follow up
